Title: Volunteer Programs Coordinator
Type of Position: Full-time, non-exempt
Reports to: Director of Programs and Community Engagement
The Greenway Conservancy, the non-profit responsible for the management and care of The Greenway, is seeking a highly motivated and reliable individual to join our team as the Volunteer Programs Coordinator. The Volunteer Programs Coordinator will assist in organizing, permitting and executing the Conservancy’s robust volunteer program and is instrumental in building and growing organizational support.

Our Volunteer Program offers opportunities for individuals, corporate groups, students, and other community groups to experience hands-on learning while they assist us with park and organizational stewardship. Working alongside our talented staff, volunteers typically contribute over 4000 hours of service each year. On the strength of reviews from volunteers, the Conservancy has won the “Top Rated Award” from GreatNonProfits.org ten years running.
- Assure high-quality, engaging, and innovative experiences for volunteers and a beneficial contribution to The Greenway and the Conservancy.
- Communicate in a timely and effective manner with a range of contacts through email and phone calls.
- Oversee relationships with corporate groups, local universities and other volunteer partners, providing excellent customer service.
- Manage and deepen relationships with individual volunteers through our volunteer tour guide program, zone garden program, special project assistantships and other opportunities within the organization.
- Plan volunteer recognition programs and events, including an annual picnic, continuing education opportunities, and service-based gifts.
- Collaborate with all departments, especially Horticulture, Maintenance, Programs, and Art, to develop specific departmental volunteer opportunities, provide training on volunteer management, and delegate oversight of programs to the corresponding departments. Maintain communication between all departments and provide administrative support.
- Collaborate on operations of Horticulture and Maintenance volunteer events, providing communication, coordination, and staff support.
- Work closely with the Development Department on corporate volunteer engagement fees and individual giving.
Program Recruitment and Evaluation
- Establish outreach and recruitment strategies to match organizational needs and opportunities; conduct annual needs assessment.
- Ensure that project goals are met and measure program success against goals; report progress regularly to senior management and create annual reports of program successes and achievements.
- Regularly analyze and track feedback from volunteers and staff; work with staff to proactively address feedback and improve program outcomes throughout the season.
- Oversee the volunteer database, files, and metric tracking utilizing Salesforce.
- Oversee a small annual budget and coordinate purchasing of materials and supplies.
- Create an annual calendar of volunteer opportunities in collaboration with various departments and develop print and digital materials for outreach and recruitment.
- Market all volunteer programs, gathering photographs and stories, and managing volunteer eNews, social media, and website pages.
Tours and Youth Workforce Development
- Organize and oversee Greenway tours, working with volunteers and staff to provide tours to the public as well as accommodate private tour requests.
- Proactively engage with youth workforce programs to invite students on tours and develop strategies for Conservancy outreach.
Skills and Qualifications
- Experience working at or studying in a related field, including nonprofit programming, public parks/gardens, or volunteer management.
- Proven track record of:
- working with a diverse range of audiences and organizations;
- multi-tasking and prioritization
- succeeding in a fast-paced and innovative environment.
- Demonstrated skill in creative problem-solving, can-do attitude, and staying calm under pressure.
- Strong written and oral communication skills. Bilingual skills a plus, especially in Chinese languages given our proximity to the Chinatown neighborhood.
- Computer proficiency, especially in Google for Work (Drive, Docs, Sheets, Slides, Gmail) and Microsoft (Excel, PowerPoint, Word). Salesforce experience a plus.
- Ability to work outside in all types of weather, to kneel or stand for periods of time, and to lift 50 pounds, which are all needed for volunteer event oversight.
- Must have a valid driver’s license and ability to drive Conservancy vehicles in downtown Boston to move event supplies.
- All incoming employees will be required to comply with the Conservancy’s COVID-19 vaccination policy.
- This is a full time (40 hours a week) position with full benefits.
- Work hours are generally Monday through Friday, but flexibility is required to accommodate some evening or weekend shifts.
- Day-to-day schedule will fluctuate; office days are typically 9:00a-5:00p and volunteer project days are 7:30a-3:30p.
- Work will generally take place indoors, but the position will require time in the parks working at volunteer events, especially between April and October.
