Title: Administrative and Operations Coordinator

Reports to:  Director of Finance and Administration

Salary: $52,000-$56,000

The Rose Kennedy Greenway Conservancy, the non-profit responsible for the management and care of The Greenway, is seeking a highly organized, systems-minded Administrative & Operations Coordinator to serve as the backbone of our office operations and administrative infrastructure. This role is ideal for someone who enjoys building and improving systems, takes pride in keeping an office running smoothly, and is comfortable supporting both people and processes. 

This role primarily focuses on office, Executive, and Board operations support, and some financial administrative support. As the organization and its systems evolve, this position offers the opportunity to grow and explore various facets of non-profit operations. The Administrative and Operations Coordinator plays a key role in improving internal workflows, increasing organizational clarity, and supporting a collaborative, well-functioning workplace. Responsibilities

Office and Operations Coordination

  • Oversee daily operations, serving as the primary liaison for IT service providers, ordering supplies, and distributing mail.
  • Manage the Conservancy’s general email inboxes, answer the main phone line, and greet office visitors.
  • Manage Zoom and DocuSign accounts; update staff directories; and support the HR Manager with job postings and onboarding logistics.
  • Oversee the staff uniform program, including inventory management and ordering.
  • Coordinate staff events, all-staff meetings, and internal communications related to office operations.
  • Identify, lead, and support initiatives that improve the organization, efficiency, and functionality of both physical and digital office environments.
  • Support a positive, organized, and welcoming office culture.

Executive and Board Support

  • Provide scheduling support to the Executive Director, collaborating on a dynamic calendar.
  • Schedule and send invites for meetings of the full Board of Directors and various Board committee meetings, about 20-25 meetings annually.
  • Coordinate preparation and organization of Board materials in collaboration with internal teams, ensuring compliance with public records requirements.
  • Coordinate logistics for Board and Board Committee meetings including venue, setup and equipment needs.
  • Serve as point of contact for Board members on logistical matters.
  • Take meeting minutes for full Board and Board committee meetings, as assigned. 
  • Maintain board orientation materials and current board and committee rosters.
  • Manage the annual distribution and collection of Board and Employee Conflict of Interest forms.

Financial Administrative Support

  • Provide administrative support to the Finance Coordinator related to contracts, agreements, and certificates of insurance (COIs), including tracking, organization, and renewal coordination.
  • Support administrative aspects of budgeting, invoicing, and financial tracking.
  • Identify opportunities to improve administrative, financial, and operational workflows and help implement new systems or processes as needed. 

 

Skills and qualifications

  • Minimum of 1 – 3 years of relevant administrative, operations, office support, or coordination experience (internships and relevant part-time experience welcome).
  • Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
  • Proficiency in Google Workspace and Microsoft Office Suite; comfort learning new platforms such as Zoom, DocuSign, and other administrative tools.
  • Clear and professional written and verbal communication skills.
  • Ability to manage delegated tasks independently and follow through to completion.
  • Strong problem-solving skills and a proactive, systems-minded approach.
  • Professionalism and discretion when handling confidential information.
  • Commitment to diversity, equity, and inclusion and contributing to a welcoming workplace culture.

Preferred Qualifications

  • Bachelor’s degree (or equivalent combination of education and experience).
  • Experience supporting senior leadership, boards, or cross-functional teams.
  • Some exposure to budgeting, financial tracking, or contract administration.
  • Experience working in a nonprofit, public sector, or mission-driven organization.

 

Logistics

  • This is a full-time (40 hours per week) non-exempt position with full benefits.
  • Work hours are generally Monday through Friday, but flexibility is required for scheduled evening board meetings (approximately 4-6 evenings annually).
  • Work will generally take place indoors, but the position may require some amount of time in the park. 

 

Compensation and Benefits

  • The salary range $52,000-$56,000 per year
  • The Greenway Conservancy offers competitive benefits, including:
